Purpose: To elevate the immersive experience and bring SkyQuest’s storyworlds to life, professional actors and performers will be stationed throughout the event. These individuals embody the characters of each zone, creating memorable touchpoints and reinforcing the campaign’s narrative depth.

Staffing Strategy: To maintain brand authenticity while maximizing efficiency, this event will rely on a mix of internal SkyQuest Park personnel and venue-provided coordination support.

Roles & Responsibilities:

  • Check-In + Crowd Flow Support (4–6 staff): Pulled from SkyQuest Park’s existing guest services and attractions team, these staffers will greet guests, manage the step-and-repeat arrival flow, scan digital invitations, and direct traffic between zones.

  • Guest Services Staff (2 staff): SkyQuest team members will also serve as roaming guest liaisons, fielding questions, assisting with dietary or accessibility needs, and ensuring smooth navigation through the venue.

  • Vendor Liaisons (2 staff): Two designated internal operations staff will be assigned to liaise with catering, performers, and A/V vendors, ensuring punctual load-in/out and coordination across departments.

  • Event Coordinator (1, provided by venue): As included in The Clay Theatre’s Oscars Package, a dedicated event coordinator will manage vendor timelines, run-of-show logistics, and venue operations. This eliminates the need for an external hire.

Staff Presentation:

  • All internal team members will wear SkyQuest Studios-branded lanyards or lapel pins with sleek all-black attire for cohesive visual presentation. These small details will blend staff seamlessly into the immersive experience while still signaling availability to guests.

​

Estimated Cost: $1,000 - Covers branded credentials and accessories, light refreshments for staff, and contingency for one backup float/support staffer if needed.

Security/Safety Personnel

Responsibilities:

  • Guest Entrance Monitoring: A uniformed guard will be stationed at the Clay Theatre’s main entrance to ensure only invited guests are admitted. This includes verifying credentials, monitoring re-entry, and enforcing capacity limits.

  • Crowd Flow & Emergency Access Coverage: Security personnel will remain present during the event to assist with crowd control in both the main room and courtyard. They will also ensure all fire lanes and emergency exits remain unobstructed throughout the evening.

  • On-Call Emergency Response: While this is not a high-risk event, one staffer will be briefed and designated to coordinate with local emergency responders (EMS/fire) in the event of a medical or safety concern.

 

Note:

Due to The Clay Theatre’s stated restrictions, no overnight site watch will be required, as the venue does not permit early load-ins or overnight storage of equipment. Strike and removal will take place immediately after the event.

 

Estimated Cost: $750 - Covers one licensed guard for five hours of active event coverage plus a second floater for roaming interior support.

Accessibility and Risk Management Considerations

ADA Accessibility

  • The Clay Theatre is fully ADA compliant, offering accessible restrooms, ramps, and clear path access to all indoor and courtyard zones.

  • Event layout will maintain ample aisle width and turning space for mobility device users across lobby, main room, and courtyard.

  • Cocktail zones will include a mix of standing-height and low-top tables to accommodate varied seating needs.

  • ADA-accessible restrooms are located adjacent to the main event space, with signage and clear paths from all zones.

  • At check-in, guests will receive a color-coded wristband or badge (optional) to discreetly alert staff to dietary restrictions if desired.

  • SkyQuest guest services team members will be briefed on all menu items and can assist guests in locating allergy-friendly options or confirming ingredients.

  • The RSVP form will include a section to indicate dietary needs (e.g., vegetarian, gluten-free, allergies), which will be shared in advance with the catering team to guide menu adjustments or substitutions where possible.

Event LAyout description

The cinematic journey of SkyQuest Studios Presents: Opening Credits begins with the marquee lights of the Clay Theatre blazing across Walnut Street. Guests approach the entrance like stars arriving at a film premiere, their names already encoded in QR check-ins waiting at the velvet-roped gate. 


Act I: The Lobby – SkyQuest Studios Preshow Zone


Upon entry under the marquee, guests are drawn into the enclosed lobby, now fully transformed into an immersive homage to the fictional SkyQuest Studios itself. SkyQuest “studio reps” (performers in character) welcome attendees as they check in, handing them reusable slushie cups and directing them toward elevated movie theater-themed concessions: popcorn balls, shimmering chocolate-dipped pretzels, and mini cheddar queso bites.


The step-and-repeat wall and branded photo stations anchor one side of the room while roaming “paparazzi” capture guests in candid, red carpet-inspired moments. This area serves as both registration and scene-setting, inviting guests into a world of retro glamour and cheeky storytelling. It’s immersive, intimate, and sets the tone: this is a cinematic event with a narrative arc.


At approximately 6:15 PM, an in-character host delivers the Pre-show Welcome Presentation, introducing guests to SkyQuest Studios and teasing the four themed “story zones” ahead.


Act II: The Main Room – MarqueeQuest + Retroville


From the lobby, guests pass through the double doors into the theater’s main interior space, where the vibe shifts into full theatrical immersion.

 

  •  Zone 1: MarqueeQuest – The Screening Salon

The front half of the main room houses MarqueeQuest, designed as a glamorous, lounge-style screening zone. With uplighting, plush seating clusters, moody ambiance, and a projection wall, this zone anchors the event’s cinematic core. Guests casually mingle here as ambient music plays and servers pass through with water and soft beverages. This is where the Campaign Reveal Video will be shown at 8:15 PM, acting as the narrative “climax” of the evening.

  • Zone 2: Retroville – The Inter-World Hub Diner

As guests move deeper into the space, the room softens into a pastel glow. Retroville, a 1950s diner-inspired hub, unfolds in the back half of the room. Neon jukeboxes, chrome accents, and playful signage bridge retro Americana with subtle nods to the other three worlds.
This is where guests enjoy the themed small plates from each zone, like glowing mac-and-cheese bites from NeonQuest and quirky pierogi skewers from OddityQuest, served in a standing dinner format at high-top tables and diner booths.


While these two zones differ in aesthetic, the room’s design will flow intentionally, unified by light transitions, musical cues, and overlapping performer interactions that prevent harsh thematic breaks. Performers from both zones roam between them, creating continuity and motion.


Act III: The Courtyard – NeonQuest + OddityQuest


Once the main meal has been served and the campaign video concluded, guests are guided through the room’s right-side double doors into the open-air courtyard, where the story continues in two vibrant final zones.

  •  Zone 3: NeonQuest – The Glitch Bar

To the left: NeonQuest, a cyberpunk-inspired sensory dive featuring fog effects, black lights, and interactive VR demo pods. A glowing dessert station offers nebula cubes and compressed fruit bites, served in shooter-style cups, while a cyber host interacts with guests in-character.
This futuristic zone emphasizes technology and innovation, making it the perfect space for post-reveal excitement and digital engagement.

  • Zone 4: OddityQuest – The Bearded Lady’s Tent

To the right: OddityQuest, a whimsical, carnival-inspired dreamscape complete with vintage sideshow props, roaming performers, and street-style dessert carts. Guests savor mini funnel cakes and popcorn brittle bark as a puppeteer or mime performs surreal, looping routines nearby. Lighting here is golden and flickering, evoking an eerie sense of curiosity and charm.
These final two zones offer a looser, exploratory close to the evening encouraging conversation, photos, and dessert grazing while guests wind down under the stars.


Exit & Return to Reality


The event concludes naturally around 11:00 PM as guests are guided to exit through the courtyard, which leads them back toward the front entrance of the Clay Theatre.
